About the Role
We are seeking a highly skilled and experienced Administrative Coordinator for GM Office to join our team at Gilead Sciences S.r.l.
As an Administrative Coordinator, you will provide critical support to the General Manager, ensuring seamless day-to-day operations and contributing to the success of our affiliate.
Key Responsibilities:
- Provide administrative and clerical support to the General Manager, including management of strategic projects.
- Organize HQ visits, including transfers, banquets, and town hall meetings, and create presentation materials as needed.
- Gather and record complex data from multiple sources, and manage admin/chef of staff responsibilities.
- Manage multiple large projects/timelines, including coordinating or leading the implementation of new software applications/databases.
- Arrange resources to meet timelines, and use software programs to create graphs, charts, and presentations.
- Under GM's direction, create draft reports, documents, and presentations using raw data.
- Understand and contribute to the attainment of affiliate goals and objectives.
- Coordinate financial work, including the preparation of annual budget and review of monthly budget.
- May assist with facilities space planning and office set-up, and support business continuity plans.
- Organize the agenda of the General Manager and screen and prioritize manager's mail and email.
- Assist in the orientation of new administrative assistants and other staff.
- Coordinate large events, including planning, organizing, and implementation.
Requirements and Qualifications
- Excellent verbal and written skills in English and Italian are required.
- English level C1 is required.
- Excellent interpersonal skills are required.
- Requires knowledge and understanding of administrative and office policies and procedures.
- Good understanding of the pharmaceutical industry is preferred.
- Must possess good proofreading and editing skills of technical documents.
- Advanced knowledge and experience using a number of office software.
Education and Experience Requirements
- Requires a minimum of a high school diploma.
- 5+ years of administrative experience in a GM's office is required.
- Experience in a pharma affiliate is preferred but not mandatory.
