Studio Over is looking for a highly organised and proactive executive assistant to work closely with our CEO to drive the studio’s growth and improve day-to-day efficiency. This strategic support role involves new business development, CRM management, scheduling and administrative coordination.The ideal candidate will be detail-oriented, resourceful and interested in how design-driven businesses grow. You will work alongside the CEO to help manage priorities, streamline operations and accelerate business development.The role involves supporting with a variety of tasks, primarily related to client acquisition and organisation. You will play a key role in managing our CRM system, organising the agenda, drafting proposals, and maintaining a smooth daily workflow.We are looking for someone who enjoys working behind the scenes to make things run better, faster and more efficiently.Key Responsibilities- Managing and organizing the CEO’s schedule, coordinating meetings and calls across time zones.- Supporting in the preparation and follow-up of client proposals and presentations.- Using and maintaining the CRM system to structure and monitor lead generation activities.- Researching new potential clients and helping prioritize outreach actions.- Supporting basic administrative and financial data entry tasks.What we’re looking for- Excellent organizational and time-management skills- Flexible and versatile mindset, able to adapt to different tasks and contexts- High attention to detail and ability to prioritize autonomously- Proactive attitude and willingness to learn fast- Basic familiarity with CRM tools, Excel and Google Suite- Strong written and verbal communication (Italian and English; German is a plus)What we offer- A close collaboration with the leadership team- The opportunity to learn the inner workings of a creative studio- A dynamic environment focused on excellence and efficiency- Possibility to work on a freelance basis or with a flexible contract structure- Send your CV to
