Site Administrator Csl Seqirus Italy

The Site Administrator provides a variety of activities in support to CSL Seqirus Italy site with expertise in areas such as facility maintenance, reception administration (filing), supplies, mail services, fleet and housekeeping.

The role holder will also provide high level administrative support for the Managing Director/Board of Directors.

Responsibilities include:

- Assesses and evaluates the physical space requirements of the organization and recommends plans to meet needs.
- Monitors and inspects building and equipment to ensure systems are fully operational
- Track building upkeep as well as anticipated long
- and short-term improvements and maintenance
- Partner and be first point of contact for all local I&T activities, coordinate with local external technicians, global teams and site employees
- Manage and coordinate reception, mail services, confidential waste, supplies, and pantry/storage inventory
- Sources goods and services
- Partner with HR, Corp Communications and Legal to maintain company/office policies and procedures
- Key point of contact for EHS at Siena site, coordinate with the local consultant to ensure health and safety requirements are met and that they are fully compliant with statutory legislation: arrange trainings ensuring the number of trained personnel remains at a level compliant with HSE regulations, review and update Fire Risk and General Risk Assessments according to local requirements, put in place H&S policies and procedures, developing, updating and expanding as required.
- Act as CSL Seqirus emergency coordinator for Siena site to ensure smooth processes during emergencies, responsible for setting up and maintaining emergency procedure in compliance with statutory legislation
- Act as CSL Seqirus fleet coordinator, coordinate vendors and provide contracts, assure compliance with site policy, assist employees
- Act as CSL Seqirus contact point for EPFIA and Sunshine Act disclosure
- Physical security business owner and contact point for Siena site: manage access requirements; ensure no security breaches by reacting immediately to any reports of lost passes of departed employees; source, procure maintenance contract for in-house security systems and oversee all services, repairs and upgrades
- Co-manage additional office responsibilities as needed
- Provides high level administrative support for the Managing Director/Board of Directors
- Provide general administrative support as needed which may include budget management and tracking, meeting scheduling and logistics, and travel planning
- Maintain site calendar and coordinate workflow and meetings
- Develop and manage relationships with Landlord through regular meetings and communications
- Clerical duties which may include preparation of documents, spreadsheets, or PowerPoint in preparation for presentations and meetings.
- Organization and management of Teams and SharePoint sites
- Assist in equipment, meeting rooms and systems access requests
- Provide general support to visitors inclusive of being first point of contact
- Perform advanced and confidential secretarial duties with broad experience, skills, and knowledge to organization, policies, and practices.

Skills Experience and competencies:
- 5+ years' experience providing administrative and organizational support for upper-level management
- Strong organizational, interpersonal and communication skills
- Proficiency in Microsoft Office
- Bachelor’s degree in economy, humanities or social-political science
- Knowledge of financial analytics, budgeting and planning
- English proficiency
