Position: Creative Studio Manager – Special Projects & Ceremonies

Reports to: Head of Production

Location: Milan

About the Role:

We are looking for a Creative Studio Manager to act as the operational backbone of BWS Creative Studio, overseeing staffing, resource planning and creative workflow across projects.

Reporting to the Head of Production, the role works in close collaboration with the Chief Creative Officer and the Creative Studio resources.

The Creative Studio Manager requires a multi-tasker who understands creative workflow and has incredible people and organizational skills in order to support an internationally focused entertainment group that conceives, produces and delivers live experiences across the globe.

A minimum 5 years experience managing staff and staff workflow for creative/entertainment/theatrical/design projects is required.

Key Responsibilities:

Project Staffing:

  • Track all creative resources across projects, assigning appropriate creative team members to projects in collaboration with the Head of Production, Chief Creative Officer, Producers, and Project Managers
  • Maintain Airtable database of project assignments, ensuring department management always has access to an overview of project assignments at any given time
  • Manage the scheduling and prioritization of projects to ensure timely delivery
  • Troubleshoot staffing issues as they arise to ensure there is always adequate staff for all project deliveries
  • Collaborate with various stakeholders and departments to accurately assess project timelines and resource needs
  • Analyze workload and capacity to allocate resources effectively, minimizing bottlenecks and maximizing productivity
    Monitor project progress and find/assign additional resources where necessary/requested

Creative Resourcing:

  • Own the maintenance and upkeep of the creative resources database, ensuring it is consistently up to date and every entry has appropriate tags/notes
  • Provide lists of specialized resources for senior management as requested for a variety of projects and needs
  • Support research of new talents and any ongoing talent searches to ensure ample resources are always available to feed a continuously growing project portfolio
    Pre-screen freelance candidates for a variety of roles to ensure they have the appropriate skillset and are aligned with BWS culture

Miscellaneous:

  • Coordinate and support the implementation of AI tools within the Creative Studio workflows
  • Lead continuous learning/talent development initiatives for the Creative Studio
  • Aid in the onboarding of new freelance resources
    Aid in efforts to retain existing talent and to grow internal skillsets
Requirements

Desired Skills and Experience:

  • Based in Milan/willing to move to Milan with openness to odd hours, occasional weekend work and potential for occasional travel
  • Proven track record of managing complex projects and resources effectively
  • Strong interpersonal skills with the ability to mediate between creative needs and production constraints
  • Strong understanding of project management methodologies, tools and best practices
  • Understanding of creative/entertainment industry and a passion for live entertainment/events
  • Fluent English with excellent written and verbal communication skills; Italian fluency ideal
  • Strong skills in Microsoft Office Suite, Apple Suite and Google Suite with excellent Airtable and Keynote skills
  • Organized, dependable, and capable of managing priorities under pressure.
