Retail Operations Department – Back Office Clerk (Direct-Owned Stores)

Location: Milan (on-site role; occasional visits to stores may be required for urgent support according to business needs)

Role Objective

Support direct-owned stores with daily administrative and finance-related tasks; assist with merchandising optimization, sales data analysis, and routine compliance checks to ensure efficient and compliant store operations.

Key Responsibilities

Coordinate cross-functionally to help stores implement corrective actions, including merchandising optimization, handling of damaged goods, and execution of promotions for near-expiry items.

Collect and organize store operations data (e.g., sales mix, footfall counts, inventory checks) and produce regular analysis reports.

Assist in checking store facilities and equipment to ensure compliance with company standards and relevant regulations (e.g., fire extinguishers, alarm systems).

Support operational compliance checks for stores (e.g., mall restrictions, food-related regulations).

Process reimbursements, payments, and procurement requests in internal systems for operations-related matters, ensuring process compliance and complete documentation.

Verify supplier and store invoices; collaborate with Finance on reconciliation and payments.

Requirements

Proficient in Excel, capable of basic data processing and analysis (e.g., VLOOKUP, Pivot Tables).

Strong interest in retail store operations; observant and detail-oriented.

Excellent communication and coordination skills to relay information effectively between stores and the office.

High sense of responsibility; able to work under pressure and willing to travel occasionally to support stores when needed.

Able to follow company work arrangements and carefully complete tasks assigned by managers.

English fluency is necessary.
