Position Summary
Provides support and assistance in the day Milan Office Trainees and provides support to all legal and non-legal departments and practice areas with large printing and binding assignments, archiving activities, preparation of bibles, stationary supplies and other specific occasional projects which may involve facilities and reception
Duties and Accountabilities
Business administrator duties
- Prints documents
- Stationary check (multiple times during the day) and stationary orders (after check)
- Help facilities and reception with specific occasional projects or emergencies
- Archiving activities
- Perform all large printing and binding assignments requested by Practice Assistants (define number of pages)
- Prepare electronic bibles
Facilities support duties
- Runs errands outside the office when needed
- Sets the tables of meeting rooms in view of the meetings that will be held when needed (equipping the meeting rooms with water, food in case of lunches/dinner, etc.)
- Prepares and serves beverages during the meetings when needed
- Helps clearing and cleaning the meeting rooms tables as soon as the meetings end when needed
- Check the kitchens regularly and prepares dishwashers
- Checks bathroom regularly and reports issues if necessary
- Ensures that all copy room are equipped with paper and stationary
- Does small handiworks when required (e.g. hanging pictures, replacing bulbs etc.)
- Assist in the day-to-day maintenance of office spaces, ensuring that they are maintained by outside vendors and building maintenance
- Prepare and install office and secretarial station name plates. Frequently check to ensure that all name plates are accurate and up-to date
- Assist in ensuring that offices for new attorneys have been set-up and furnished appropriately
- Restocks the kitchen cabinets regularly during the day
- Supports in other activities which may be related to the above tasks as needed

- Preferred experience in Hospitality industry
- Proactive, initiative taking, solution-oriented
- Organised, adaptable, with a flexible approach
- Good communication skills
- Ability to work under pressure and prioritise work to deadlines
- Enjoy working as part of a team
- Able to create and maintain good relationships with colleagues at any level
- Good knowledge of the English language
- Basic knowledge of Office
Location and Reporting
- This role is based in Milan.
- This role reports to the Office Operations & HR Manager in the Milan office
