A Catholic organization based in Rome is seeking to recruit a qualified and motivated professional to join its team. Reporting to the Historical Institute Administrative Director, the Accounting and Publications Administration Clerk shall be responsible for the following activities:

  • Manage general accounting, active and passive invoicing, track discounts, liaise with treasury;
  • Manage Accounting and asset bookkeeping, manage subscriptions and standing orders, monitor stock holdings and stock warehouse;
  • Perform bank reconciliations;
  • Manage tax obligations;
  • Ensure the preparation of budget data;
  • Collaborate with Administrative Director, Publications Editor and Treasury in monitoring the budget for planning and controlling activities;
  • Carry out debt collection activities;
  • Liaise with the ERP software developer for the implementation of some modules for the development and management of subscriptions;
  • Collaborating with other internal units, ensure maintenance of the publications website, including constant updating of old information and uploading of new content;
  • Collaborate with Management and Publications Editor in developing tools, including author agreements, to support the administrative unit and processes to improve business efficiency and automate activities;
  • Support Management and collaborate with various units to generate data for evaluation and to monitor constantly and improve the inteernal management control;
  • In collaboration with the Publications Editor and the Management, formulate terms and conditions, and determine and monitor remunerations for external specialists in the publications department;
  • Collaborate with Publications Editor in planning and executing production processes, and strategizing for product promotion and market expansion, and in executing approved plans;
  • Liaising with Publications Editor, manage production-related correspondence, including, but not limited to, correspondence with copy editors, typesetters and printers;
  • Other occasional duties as might be assigned by the Administrative Director and/or Academic Director from time to time.

Required skills and experience:

  • Diploma/Degree in Accounting or Degree in Economics, Financing, Business Administration, or another relevant qualification (additional certification [CPA or CMA] is a plus)
  • Excellent knowledge of accounting regulations and procedures, including Generally Accepted Accounting Principles (GAAP)
  • Practical experience with accounting software (previous experience with Zucchetti Infinity will be an advantage)
  • Sufficient computer and IT fluency and advanced MS Excel skills, including Vlookup and PivotTables
  • Fluent knowledge of Italian and English (no lower than C1), with possible preference for other foreign languages (particularly Spanish)
  • Strong attention to detail and good analytical skills
  • Basic administrative and management skills and ability to communicate effectively
  • At least 3-5 years of previous experience in accounting and administration

The profile is completed by good interpersonal skills, autonomy, proactivity, teamwork, flexibility and adaptability, readiness to learn new skills and retrain where necessary, goal orientation, problem solving, organizational skills, reliability, precision and respect for deadlines.

We offer an initial one-year contract with the possibility of converting it into a permanent contract.
