The Medical Affairs Operations contractor role is responsible for providing critical project management support in country medical affairs projects over the entire life of the program by implementing, overseeing, coordinating and optimizing local medical program processes at a country and cluster level.

Oversees the strategic development of program timelines and budgets in alignment with International and Global functions, as well as proactively resolves potential deviations, assists in resolving critical issues, and communicates status to the Country Medical Lead/Director.


The Medical Affairs Operations Coordinator has responsibilities covering procurement, medical events coordination and planning, medical publications, medical materials approval workflows, early access programs, clinical trial support, vendor management, and onboarding of new medical team members.

The successful applicant will be highly organized with good project management skills, strong attention to detail and will possess an understanding of field medical operations, medical events planning, finance operations and budget tracking, for a successful operational support of the Country Medical teams

This position reports to the Country Medical Lead/Director. The position is in a team-orientated environment that is empowered to drive programs.

What will you do?
Responsibilities of this position involve the day-to-day support of Country Medical Affairs strategy & related activities, assess risks, and identify issues, conflicts, or gaps, in collaboration with a dynamic cross-functional team:

  • Monitor and report the key milestones within the projects and proactively develop contingency plans to support stakeholders, reviewing the plan regularly with the Country Medical Lead/Director.
  • Support with planning and organization of local national congresses (e

g:
materials, booths, company-sponsored events)

  • Work closely with the local medical point of contact for the implementation of Early Access Programs and liaise with Global team in keeping uptodate tracking and local records.
  • Provide effective data generation support in the management of BPM sponsored trials, ISTs, RWE/registries, and local publications
  • Work closely with the local Medical Information point of contact in the management of external medical inquiries, while tracking and keeping uptodate local files
  • Act as the CRM local point of contact in the creation & maintenance of reports and dashboards (e

g:
field medical interactions and insights data tracking, KOL ID, data integrity and other metrics)

  • Work effectively with other stakeholders in the development & management of Medical Education activities (e

g:
Preceptorships, unsolicited CMEs, medical symposiums) and other scientific meetings (e

g:
Advisory Boards, Investigator meetings)

  • Work effectively with other stakeholders in the development of effective Medical & PAGs communications (e

g:
materials production, field communication planning), being accountable for the local upload and review of materials for country-specific approvals (MRB)

  • Work closely with Country Medical Lead/Director in analyzing Med Affairs budget status and resource utilization schedule for regular financial reports to assist with the tracking of spend vs plan
  • In collaboration with the administrative assistant and/or the business owner, coordinate the raising and tracking of purchase orders and associated engagement agreements, while working closely with Accounts Payable to manage invoicing receipt and reconciliation
  • Oversee contract and vendor management for Medical Affairs projects/activities. Serve as facilitator of legal and purchasing processes and assist in vendor contract negotiation, performance management, maintenance and tracking of master service agreements, work orders and contracts
  • Work effectively with onboarding manager in developing and tracking onboarding plans for new medical employees, as well as assist with required BPM system accesses and training
  • Organize internal training activities in local language, including those for nonmedical functions, and provide effective support for the medical part of the review/approval process of promotional materials
  • Ensure alignment of Medical Affairs work to company and country SOPs (Standard Operating Procedure), in line with local laws and regulations
  • Maintain the country archive up to date with all appropriate documentation collected, keeping the information in line with compliance retention and reporting requirements including fair market value, transparency, antibribery etc.
