The role

As Team & Office Coordinator, you will be the backbone of our team. In this role, you will support the leadership team while managing the office’s day-to-day activities. You will be at the heart of the company, working with cross-functional departments and ensuring our Milan office runs smoothly.

You will report directly to the General Manager for Italy.

Your key responsibilities will be:
  1. Assist our growing leadership team with all organizational and administrative tasks.
  2. Contribute to various projects and initiatives across departments.
  3. Be the go-to person for both office staff and field teams in Milan.
  4. Organize and manage appointments, meetings, conferences, and external events with clients, as well as internal sales meetings.
  5. Streamline office processes, optimize workflows, and ensure a welcoming atmosphere.
  6. Handle day-to-day tasks such as purchase orders, invoices, and liaise with HR, Finance, and IT teams.
Qualifications and skills
  1. Completed commercial education, university degree, or comparable qualification.
  2. 2-5 years of experience in office management or a related role.
  3. Fluency in English and Country X (both spoken and written).
  4. Proficiency in Windows Office applications, especially PowerPoint.

To succeed in this role, you must possess solid organizational skills and a strong attention to detail. Managing your time effectively is critical, as you will be juggling various tasks simultaneously. A self-starter mentality is essential, enabling you to handle multiple responsibilities independently. You should also have a forward-thinking mindset that allows you to identify areas for improvement and proactively contribute to the team's success.

Equally important is your positive, engaging personality. Strong communication skills will allow you to interact with a wide range of people, from leadership to team members across different departments. You’ll be the kind of person who enjoys supporting others, takes pride in being a reliable resource, and can quickly build rapport with those around you. Whether in-person or remotely, you will ensure that communication flows smoothly within the organization, fostering an atmosphere of collaboration and trust.
