Reporting Structure

The Facilities Operations Specialist reports to a senior Facilities Operations Specialist.

Technical Focus
Assist in the upkeep of headquarters' initiatives related to facilities operations.

Key Outcomes
Contributes to programs/projects for the management of physical operations and enhances the safety of the Organization's personnel and premises.

Primary Responsibilities

• Assist in the upkeep of facilities at the headquarters, encompassing both civil and technical infrastructure, managed by internal staff and external service providers.

• Aid in the planning and execution of significant maintenance projects to be carried out by internal staff, contractors, or relevant authorities.

• Participate in the design and cost estimation of infrastructure projects aimed at maintaining and enhancing the efficiency of facilities, while overseeing the execution of works.

• Contribute to the verification of quality and quantity of all construction works and materials associated with maintenance or new construction projects, utilizing effective tracking methods.

• Draft technical specifications and tender documents for construction projects, maintenance tasks, and related services planned for the premises.

• Monitor the performance and progress of contractors using advanced project management tools.

• Support the Facilities Operations Specialist in preparing payment schedules for construction projects, including those of high value and complexity.

• Conduct research and propose innovative solutions for adopting new construction materials and technologies in projects. Collaborate with staff and/or contractors to implement value engineering and cost-saving measures.

• Promote initiatives aligned with the Organization's commitment to Corporate Environmental Responsibility, aiming to reduce emissions, enhance efficiency, and integrate sustainability into daily operations.

• Perform additional related duties as necessary.

CANDIDATE EVALUATION CRITERIA

Minimum Qualifications

• Advanced university degree in civil engineering, architecture, or related disciplines.

• A minimum of three years of relevant experience in facilities management, including maintenance contracts.

• Proficient working knowledge of English and intermediate knowledge of one of the other official FAO languages (Arabic, Chinese, French, Russian, or Spanish).

Technical/Functional Expertise

• Depth of experience in supporting facilities management-related activities, maintenance, and construction for large office environments, particularly in Italy.

• Familiarity with the international facilities management landscape, including relevant laws in Work Safety and Security.

• Understanding of procurement processes for outsourced facilities management services.

• Knowledge of UN system rules, policies, and regulations regarding procurement of outsourced facilities management is advantageous.

• Proficient working knowledge of Italian is a significant asset.

• Experience in multiple locations or areas of work, especially in field positions, is considered beneficial.
