Job Summary
We are seeking an experienced Administrative Support Specialist to join our Business Development and Legal team. The successful candidate will provide efficient and smooth day-to-day administrative support for our HQ and European subsidiaries.
Key Responsibilities
- Handle sensitive client and partner communications
- Prepare reports and presentations, order office supplies, and collaborate on projects
- Organize business trips, time, and attendance control, and manage expense reports
- Write tender documentation under the guidance of proposal managers, primarily in English
- Handle general tasks related to the commercial register and Ultimate Beneficial Owner
- Regularly update customer communication systems, Legal Tool, and Intranet
- Support the onboarding process of new employees
Requirements
- 5 years' experience as an administrative assistant or project assistant, preferably in an international matrix organization (industrial environment)
- Fluent in English and Italian
- Good knowledge of MS Office and tendering procedures
- Experience in organizing meetings/events and in travel/expense management
- Proactivity, impeccable manners, and effective communication skills
