About the Role

CSL Seqirus is seeking a highly skilled Business Operations Specialist to join our team. As a key member of our operations team, you will be responsible for managing tender activities, customer service, and order to cash processes.

Tender Management Activities
  • Monitor and screen e-procurement web platforms for potential tenders
  • Submit pre-qualification information to tender authorities
  • Monitor and update tender authority platforms
  • Select eligible tenders and archive documentation
  • Work with the team to prepare participation in tenders and offer submissions
  • Maintain tender status in Datagon and ensure commercial contracts flow into SAP
  • Liaise with tender authorities for submission modes and timing
  • Track submission deadlines and manage approval workflow for price to bid
  • Liaise with other functions for information needed for participation
  • Manage performance bonds and track expiration
  • Ensure all necessary payments and pre-requisites are satisfied
  • Submit tenders on time into e-procurement platforms
  • Provide documentation required post-awarding for contract finalization
  • Maintain accurate records and files of tender-related data
  • Identify and report new tender requirements or potential risks of exclusion
Customer Service and Order to Cash Activities
  • Monitor and manage inbox messages for shared mailboxes and customer touchpoints
  • Support the Bus. Ops Team with orders secondary review and check orders for accuracy
  • Answer customer enquiries and provide information on orders, deliveries, and invoices
  • Manage sales e-invoices submission in Sfera and analyze potential invoice rejections
  • Work with Business Operations Manager to finalize seasonal credit limit analysis
  • Provide regular feedback on sales order issues or customer concerns
  • Handle temperature excursion requests and Product Technical Complaints
  • Partner with KAMs on tender, orders, or customer requests
  • Prepare and send commercial reports on orders entrance and deliveries status
  • Support the Team in maintaining documents archives required by law
Other Activities
  • Maintain and support Business Operation team in maintaining SOPs and WKIs
  • Support the Team in tracking batch status and monitoring supply from manufacturing sites
  • Support in MIF submission activities and batches release tracking
  • Collaborate with Business Operations Team in partnering with Global functions
  • Raise Purchase Requisitions in SAP for services needed by the local Business Operations team
  • Provide support and backup to the Team in managing AP activities
  • Work with Business Operations Manager to identify and evaluate innovative solutions
  • Support Business Operations Manager in executing projects and providing useful inputs
Requirements
  • Degree in Economics, Engineering, Life Sciences, or Law
  • Good understanding of Italy's healthcare system, Public Procurement legislation, and regulatory requirements
  • English language intermediate level (at least) – Fluent in speaking
  • Ability to work with Microsoft Office pack, Power BI, web sites, and platforms
  • Minimum experience in Biotech Companies or Pharmaceutical Industry
