About Lupaia

Lupaia, a 5-star hotel nestled in the heart of Tuscany, is seeking an experienced Operations Manager to lead our team.

The ideal candidate will have a proven track record in luxury hospitality, excellent communication skills, and a passion for delivering exceptional guest experiences.

Main Responsibilities:

  • Leadership: Oversee all departments and staff, ensuring seamless day-to-day operations.
  • Purchasing and Administration: Manage purchasing and administration, maintaining high standards and quality control.
  • Standard Setting: Establish and improve operational standards, driving excellence throughout the hotel.

Key Performance Areas:

  • Operations: Oversee daily operations, liaise with department managers, resolve issues promptly, and prioritize guest satisfaction.
  • Guest Relations: Foster strong relationships with guests, promoting in-house activities and resolving any issues swiftly.
  • Owner Relations: Report regularly to owners, represent their values and vision, and communicate effectively with suppliers, partners, and media.

HR and Recruitment:

  • Team Planning and Recruitment: Collaborate with owners to plan and recruit staff, ensuring the right talent joins the team.
  • Staff Management: Lead and manage staff, ensuring they follow house rules and adhere to high standards.
  • Communication: Serve as the first point of contact for department heads, facilitating effective communication and collaboration.

Operational Excellence:

  • Maintenance and Quality Control: Monitor guest areas, ensure correct setup, and maintain high standards of service delivery.
  • (Process Improvement: Analyze and improve processes whenever possible, driving efficiency and effectiveness.

Front Office Support:

  • Liaison with Front Office Manager: Work closely with the front office manager as mutual deputies, ensuring seamless communication and collaboration.
  • Quality Control: Check bookings and emails for quality control, ensuring exceptional guest experiences.
  • Supporting Front Office Workload: Assist with front office tasks, including check-in/check-out guests and being present and approachable.

Purchasing and Inventory:

  • Inventory Management: Ensure all required non-food materials are in stock, handle purchases from various channels and suppliers, and manage inventory effectively.
  • Cost Control: Handle purchases and cost controlling, ensuring efficient use of resources.

Budgeting and KPI Analysis:

Manage budget, constantly monitor KPIs, and drive business growth through data-driven decisions.

This full-time position requires 6 days of work per week during peak season (March-November) and 3-4 days per week during the closing period, overseeing the reservations office and maintenance/renovations.

We offer a housing allowance and permanent contract. Travel may be required for trade shows, sales trips, and media events.

This role demands full immersion into daily operations, requiring frequent interactions with guests, team members, and owners.
