Executive Assistant for Area Manager

Job Overview
We are seeking a highly organized and detail-oriented Executive Assistant to support our Area Manager in the organization and management of all activities, tasks, and projects relevant to the accomplishment of our overall business results.
Main Responsibilities
The successful candidate will provide a wide range of administrative support to the Area Manager and their team, including general correspondence, agenda and business trips' arrangements, and the preparation of presentations and documents.
Key Accountabilities
- Manage the Area Manager's agenda, arranging appointments, meetings, and events, ensuring all related materials and resources are prepared in advance.
- Arrange business trips and accommodations, ensuring that all logistical aspects are handled efficiently.
Communications and Reporting
- Draft, edit, and proofread correspondence, memos, reports, and presentations.
- Attend meetings and share minutes, ensuring key discussions, decisions, and action items are documented.
Confidentiality and Research
- Maintain confidential information, ensuring proper storage, access, and disposal, with the highest discretion and professionalism in all interactions at all times.
- Conduct research and gather information, reports, and documents from various sources, providing summaries and analysis when requested.
Requirements
- At least 3-4 years of experience as a Personal Assistant, preferably in a luxury hotel or other luxury business setting.
- Availability to travel for business, with a headquarters in Rome.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, including exceptional attention to detail.
- Proficiency in office productivity software, such as Microsoft Office Suite, and familiarity with document management systems.
- Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
- Exceptional interpersonal skills, with the ability to build rapport with others at all levels of the organization.
- Strong problem-solving and critical thinking abilities, with a proactive and solution-oriented mindset.
- Flexibility and adaptability to handle changing priorities and work effectively in a fast-paced environment.
- High level of professional integrity, discretion, and confidentiality.
- Advanced level of knowledge of English and Italian; French is a plus.
