We are seeking a dynamic individual to support our sales team as a Customer Service Tender & Quote Specialist. In this role, you will play a crucial part in managing the bid and tender processes (end-to-end from tender announcement to the final contract booking), ensuring the timely preparation of high-quality proposals that are competitive and compliant with company standards and finalizing the contract signature with our customer.
Responsibilities:
- Prepare and compile all necessary documentation, including quotations for service contract tenders referred to all Business Units, ensuring accuracy and completeness.
- Maintain awareness of tender announcements and provide pertinent information to Key Account Managers.
- Generate quotes for customers upon request from Key Account Managers.
- Conduct pre-quote activities such as credit checks and updates on realization times.
- Follow the approval process for quotes using dedicated tools and reaching out to the proper stakeholder.
- Manage contracts, ensuring their preparation and maintenance throughout the contract lifecycle for both public and private customers.
- Interface effectively with internal and external stakeholders to address tender-related issues and ensure alignment on quality documentation.
- Assist in the coordination of contract bookings between public administration, Philips, and the Global Business Services (GBS) team.
Requirements:
- A University degree in Administration, Law, Finance, or a related field would be a plus.
- Up to 2 years of relevant experience, preferably in roles involving customer service or sales support, with exposure to tender processes.
- Strong communication skills in English and Italian (oral and written).
- Proficiency in Microsoft Office suite. Knowledge of tools like SAP and Salesforce Service Max will be a plus.
- Being communicative, adaptable to working in a collaborative team environment, detail-oriented, and capable of continuous learning to adapt to evolving tender processes.
