Job Overview

The Office Operations Manager in Milan will be instrumental in ensuring the seamless and effective functioning of our Milan office. This role involves overseeing office facilities, nurturing supplier relationships, and managing various administrative responsibilities to support the Milan team. The ideal candidate will possess exceptional organizational skills, a proactive mindset, and the ability to juggle multiple priorities in a dynamic environment. The Office Operations Manager will also play a vital role in onboarding new employees, managing health and safety initiatives, and facilitating communication between the Milan office and other departments within CoreView.

Key Responsibilities

Office Management and Organization:

  • Oversee and enhance relationships with suppliers: renew or improve cleaning and maintenance services, manage supplier communications.
  • Coordinate and schedule office maintenance activities: liaise with maintenance personnel for routine or urgent repairs.
  • Maintain communication with the Landlord: address issues related to breakdowns or malfunctions.
  • Ensure the upkeep of break areas and conference rooms: monitor organization, cleanliness, stock levels, and vending services.
  • Manage overall supplier relationships for the Milan office: oversee staff access passes, desk and meeting room reservations, and ensure billing is coordinated with the Finance Department.

Administrative Support for the Milan Office:

  • Handle front office and general secretarial duties.
  • Engage in corporate purchasing activities: manage contracts, vendor relations, and procurement of office supplies.
  • Organize and archive digital and physical documents.
  • Assist other departments in organizing events, catering, and meals.
  • Facilitate the onboarding process for new hires: prepare necessary documents, welcome kits, and manage access badge assignments.
  • Coordinate shipments via courier, both domestically and internationally.
  • Process monthly attendance and meal vouchers: assist colleagues with maternity leave, sick leave, and holiday requests.
  • Manage Health & Safety initiatives: organize mandatory medical visits, safety training, and maintain contact with health and safety suppliers.
  • Support the Finance Department with tasks such as customer reminders, invoice archiving, VAT register control, and sending invoices.

  • Strong analytical capabilities.
  • Skill in recognizing conflicts and prioritizing tasks.
  • Enrolled in L.68/99 lists (CATEGORIES PROTECTED L.68/99)
  • Adaptability and capability to manage change.
  • Fluency in Italian and English.
  • International work experience is a significant advantage.
