In the role of Contract Administration Specialist, you will play a crucial part in supporting the Project Manager/Project Director in the seamless management of contracts and associated agreements.
Key Responsibilities:
- Facilitate the transfer of contractual documents and relevant information to the Project Team, ensuring effective communication through dedicated contract induction sessions.
- Prepare essential tools for the project, including a comprehensive contract diagram, a list of notices and communications, and standardized notice templates.
- Identify key contractual provisions that need to be communicated to vendors, collaborating with the Project Procurement Manager/Coordinator to finalize Special Purchase Conditions.
- Determine contractual obligations for subcontractors and work with the Project Subcontracting Manager/Coordinator to establish Project Special Subcontracting Conditions.
- Draft and manage documentation to uphold confidentiality obligations towards clients and other stakeholders, ensuring compliance by the Operating Company, subcontractors, and vendors.
- Assist the Project Manager/Project Director and team members in addressing contract-related issues effectively.
- Compose correspondence related to contractual matters, maintaining clear and professional communication.
- Document instances of non-compliance by clients and partners, evaluating the implications on cost and timelines, and inform the Project Manager/Project Director for necessary notifications.
- Identify and prepare change order requests and claims, collaborating with the Project Control Manager and team members to ensure timely submission to clients.
- Engage in negotiations regarding change orders and claims, advocating for the project's interests.
- Maintain accurate records of the status of change orders and claims throughout the project lifecycle.
- Work with the Project Team to identify delays and disruptions caused by client or partner responsibilities, as well as force majeure events, ensuring proper notifications are made.
- Participate in the negotiation and finalization of contract amendments, with support from the Contract Negotiator as necessary.
- Promptly inform Legal Affairs and Contracts of potential disputes that may lead to litigation, ensuring proactive management of risks.
- Support Legal Affairs and Contracts in navigating litigation processes effectively.
- Assist in Project Risk/Opportunity Management by evaluating project risks quantitatively and qualitatively during the execution phase.
- Collaborate with Group Treasury in managing project bank warranties to ensure financial compliance.
- Support the Project Control Manager in overseeing invoices issued to clients and/or partners, ensuring accuracy and timely processing.
