About the Role

We are seeking a highly skilled and experienced Freelance Event Specialist to join our team at Visit. As a key member of our events team, you will be responsible for managing the logistics of our in-person events, ensuring a seamless and memorable experience for our corporate client participants.

Key Responsibilities
  1. Event Planning and Execution: Join virtual planning meetings ahead of each event with all parties, including corporate partners, nonprofit organizations, and venue staff. Take ownership and responsibility of our in-person events, ensuring everything runs smoothly from setup to teardown.
  2. On-Site Management: Be the point of contact and leader on-site, problem-solving and ensuring a high-quality customer experience. Align roles and responsibilities with the onsite team, including event hosts, nonprofit organizations, and venue staff.
  3. Guest Experience: Manage the check-in process, providing a warm and friendly welcome to guests. Problem-solve issues such as missing supplies, late staff, or technology challenges.
  4. Communication and Reporting: Send consistent updates, photos, and videos to our events team throughout the event. Break down the event site after the event ends, helping to clean and repack materials for shipping.
Requirements
  1. Language and Communication: Fluency in English and strong communication skills.
  2. Location: Based in Milan, Italy.
  3. Schedule and Availability: Schedule flexibility with availability to work on a contract per-event basis, as needed.
  4. Event Experience: Experience in complex, large-scale events and smaller executive-level intimate events.
  5. Problem-Solving and Adaptability: Resourcefulness, ability to exhibit grace under pressure, and be solutions-minded in ambiguous situations.
  6. Customer Service and Relationship Building: Strong interpersonal and customer service skills, especially in fast-paced situations.
  7. Physical Demands: Able to lift, slide, and carry up to 30lbs, and stand for an extended period of time.
