Role Overview:

The Executive Assistant will play a pivotal role in providing comprehensive support to the Principal while also assisting with the admissions and marketing initiatives of the institution. This position demands outstanding organizational capabilities, meticulous attention to detail, creativity, and the ability to effectively manage multiple priorities. A background or interest in premium customer service, marketing, or sales is essential.

Key Responsibilities:

  • Deliver efficient administrative support to the Principal.
  • Serve as the confidential first point of contact for the Principal, both in person and via phone.
  • Manage the Principal's calendar and warmly welcome visitors.
  • Assist the admissions secretary in nurturing leads and creating promotional materials for prospective families.
  • Contribute to the development of newsletters for parents and prospective families.
  • Proactively gather photos, articles, and other content to showcase the school's achievements.
  • Draft content for newsletters, press releases, and social media platforms.
  • Take a leading role in organizing and managing school events.
  • Proofread newsletters and the school's prospectus, ensuring all communications are polished.
  • Oversee the school's website and key marketing documents as needed.
  • Manage all GDPR-related administration, including Freedom of Information Requests and annual audits.
  • Represent the school positively in person and online to parents, visitors, and the wider community.
  • Perform any other reasonable duties as assigned by the Principal.

Candidate Profile:

Essential qualifications include:

  • A graduate in any field with at least one year of professional administrative experience.
  • Experience in a premium customer service, marketing, or sales environment.
  • Excellent written and verbal communication skills in both English and Italian.
  • Strong interpersonal skills.
  • Proficiency in technology and various administrative software, including Word and Excel.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Sound judgment and the ability to demonstrate initiative in completing assigned tasks.
  • Creative insight and a keen eye for design.
  • Meticulous attention to detail and proofreading skills.
  • A positive attitude towards professional development.
  • A proactive approach to contributing to school marketing and admissions efforts.
  • A calm demeanor and a can-do attitude.
  • Strong interpersonal skills with the ability to engage with a diverse range of individuals.
  • Flexibility and willingness to work beyond standard hours as required.
