Position: Creative Studio Manager – Special Projects & Ceremonies Reports to: Head of Production Location: Milan About the Role We are looking for a Creative Studio Manager to act as the operational backbone of BWS Creative Studio, overseeing staffing, resource planning, and creative workflow across projects. Reporting to the Head of Production, the role works in close collaboration with the Chief Creative Officer and the Creative Studio resources. The Creative Studio Manager is a multi‑tasker with strong people and organizational skills, supporting an internationally focused entertainment group that conceives, produces, and delivers live experiences worldwide. A minimum of 5 years managing staff and workflow for creative/entertainment/theatrical/design projects is required. Project StaffingTrack all creative resources across projects, assigning appropriate team members in collaboration with the Head of Production, Chief Creative Officer, Producers, and Project Managers. Maintain Airtable database of project assignments, ensuring department management always has an overview of assignments. Manage the scheduling and prioritization of projects to ensure timely delivery. Troubleshoot staffing issues to ensure adequate staff for all project deliveries. Collaborate with stakeholders and departments to assess project timelines and resource needs. Analyze workload and capacity to allocate resources effectively, minimizing bottlenecks and maximizing productivity. Monitor project progress and assign additional resources where necessary.Creative ResourcingOwn the maintenance and upkeep of the creative resources database, ensuring it is consistently up to date and every entry has appropriate tags and notes. Provide lists of specialized resources for senior management as requested for various projects and needs. Support research of new talent and ongoing talent searches to ensure ample resources for a growing project portfolio. Pre‑screen freelance candidates for a variety of roles to ensure they possess the required skill set and align with BWS culture.MiscellaneousCoordinate and support the implementation of AI tools within Creative Studio workflows. Lead continuous learning and talent development initiatives for the Creative Studio. Aid in onboarding of new freelance resources. Aid in efforts to retain existing talent and grow internal skill sets.RequirementsBased in Milan or willing to relocate, with openness to odd hours, occasional weekend work, and potential for occasional travel. Proven track record of managing complex projects and resources effectively. Strong interpersonal skills; able to mediate between creative needs and production constraints. Strong understanding of project management methodologies, tools, and best practices. Understanding of the creative and entertainment industry with passion for live entertainment/events. Fluent in English with excellent written and verbal communication; Italian fluency ideal. Strong skills in Microsoft Office Suite, Apple Suite, and Google Suite, with excellent Airtable and Keynote skills.
