Ecolab is seeking an experienced, professional, and dynamic **Executive Assistant** to provide administrative support to the Vice President and General Manager Europe and to the Assistant Vice Presidents and their teams covering the **Life Sciences Division**.

**Main Responsibilities**
- Manage multiple calendars across multiple time zones
- Make complex travel arrangements (both domestic and international) including visa requirements
- Plan, coordinate and support meeting logistics: from small department meetings to large Divisional events in collaboration with Marketing and with external agencies. Plan and execute remote meetings and townhalls using Teams, videoconferencing and other effective technology. Manage set up and all pre
- and post-event activities to ensure all sessions are well coordinated and executed with high impact
- Create quality presentations, memos, reports and other communications with mínimal direction
- Create and maintain Distribution Lists
- Handle finance administrative tasks related to corporate card use and expenses
- Manage project tracking, budget planning, database consolidation and other projects as requested
- Assist with office duties including: file maintenance and retention, office supplies ordering, data entry, on-boarding logistics of new staff, work space movement, IT hardware and access, etc.
- Responsible for maintaining and ordering office supplies, files, computers and office equipment
- Responsible to ensure vendor qualification and smooth and compliant Order-to-Payment processes in selected geographies
- Support special projects and drive assigned tasks to successful completion.
- Additional team administration and team support task as required

**Qualifications**
- High School Diploma required, preferred University Degree
- Demonstrable Executive Assistant experience in multinational companies
- High proficiency in MS Excel, PowerPoint, Outlook
- Intermediate proficiency in SAP
- Successful Project Management
- Highly proficient in spoken and written Italian and English (some interviews will be held in English) - other foreign languages are a plus
- Demonstrated initiative with the ability to work independently, be resourceful and anticipate needs
- Organizational skills and ability to effectively manage multiple, competing priorities in a fast-paced, deadline driven environment
- High attention to detail and quality
- Strong customer focus and interpersonal skills, with a willingness to collaborate in a team environment
- Ability to quickly learn and gain knowledge of organizational operations, procedures, and staff
- Reliability, flexibility and approachability
- Ability to professionally manage confidential and time-sensitive information
- Previous project coordination experience with proven follow-through

The role will be based in **Vimercate (Milan, Italy)** with the opportunity for agile working for 40% of the time.
