E.ON Business Solutions S.r.l. (EBU Italy) is looking for a a/an**:Head Office Assistant (fixed term contract)**

**Responsibilities**:

- Coordination and follow-up of appointments/diary management: provide administrative and organizational support to EBU Italy Country Head and his first line including respective team members to ensure internal delivery
- Action logs management such as sending a short daily action log listing what has been done, what is pending, what requires input/action
- Travel management (planning of missions, arrange travel and accommodation identifying and booking most effective solutions) and expense claims management (registration and double check of travel expenses)
- First point of contact, dealing with internal and external enquiries, general issues and monitoring progress on behalf of the team
- Proactively looking for ways to drive efficiencies across team and championing new ways of working, ensuring customer and compliance are key drivers
- Build effctive relationships with key stakeholders across EBU
- Meetings, talks, events: schedule, coordinate, plan, prepare on line and physical meetings as well attend meetings to capture and circulate minutes (chasing progress on actions where required)
- Process orders, invoices, payments, vacations requests, including cost controls of orders, invoices and payments, system of requisitions (purchase requisition) in SAP and invoice workflow
- Provide support to Communications & Marketing departments in the scope of organizing events
- Ad hoc duties arising from growth strategy initiatives
- Document management: creating folders, proofreading of documents (e.g. letters, contracts, etc.), organization of document translations, maintain team records (digital and hard-copy filing)
- Provide support to coordinate team activities (e.g. trainings)
- Assist with the recruitment process of employees/interviews scheduling
- Provide support to manage new starters/leavers process (including coordination with IT and support on field)
- Professional handling of phone calls with internal and external stakeholders
- Manage Italian and English language correspondence
- Support and close cooperation with other departments/assistants
- Interface and liaise at all levels, including Directors, Managers and PAs from across the E.ON business, external organizations and customers
- Contribute to teams effectiveness as a full member of the team

**Qualifications**:

- Successfully completed professional training
- Relevant experience in personal/team assistant roles developed in international and complex job environments
- High motivation and commitment to discipline and team play
- High degree of integrity and ability to handle both high load and sensitive/confidential information
- Excellent planning and organisation skills (able to successfully handle multiple tasks at the same time and to prioritise)
- Able to work discretely and under time pressure
- Accountable and detail-oriented
- High level of communication skills and customer orientation with a friendly and positive attitude
- Stakeholder management skills and ability to build relationships at all levels
- Fluency in Italian and English

**What we offer**:

- Fixed-term employment contract (12 months) and remuneration according to skills and seniority
- Scheduled effective date: immediate or compatible with notice period
