Your seat to fill:
- Serve as the first point of contact for employees and visitors at the Milan Creative Hub, creating a welcoming atmosphere and an exceptional showroom and brand experience
- Organize and coordinate the showroom agenda, meetings, and events with influencers, VIPs, press, retailers, and other external stakeholders, in close collaboration with internal teams
- Coordinate and manage external service providers involved in the daily operations of the Creative Hub
- Collaborate closely with teams at our Bayreuth headquarters (Corporate Architecture, Facilities, IT, Finance, etc.) on all topics related to office and showroom management
- Support general daily operations, including maintenance, office supplies, couriers and shipments, invoicing, stock management, and product displays
- Participate in projects aimed at improving internal processes, structures, and operational efficiency
- Manage appointments and travel arrangements for senior management and, where applicable, team members, assisting with expense reports
- Organize and coordinate meetings, including agenda preparation, minute taking, and follow-ups when required
- Maintain accurate records, files, and archives (both digital and physical), also assisting with needed procurement and finance documents and processes
- Ensure a smooth, professional, and welcoming onboarding experience for new employees
Your stroll to CYBEX:
- Previous experience as personal assistant, or in office management, hospitality, showroom management, administration, or a similar coordination role
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment, a service-oriented mindset with excellent interpersonal and communication skills
- Professional, confident, and welcoming demeanor, with a strong sense of discretion
- Ability to work independently while also collaborating effectively with cross-functional and international teams
- Strong attention to detail and a proactive, solution-oriented approach
- Comfortable working with external service providers and internal stakeholders at all levels
- Excellent proficiency in English and Italian; additional languages are a plus
- Confident user of MS Office and general office systems; experience with administrative tools is an advantage
