The Opportunity:

Avantor is looking for a Bids and Proposal Specialist to join Avantor

This is a Canadian remote role. Bilingual proficiency in English and French is considered an asset. Preference will be given to candidates that are located within the Mountain and Pacific Time Zones.

What we're looking for

  • Education: Bachelor's degree and/or equivalent experience, education and training
  • Experience: Minimum 2 years of hands-on proposal development, project management or related experience required  
  • Collaboration Tool: Proficiency in Microsoft Office (Word and Excel)
  • Preferred Qualifications: 
    • 3+ years of related experience
    • Experience working in biotech/pharma industry and/or distribution/manufacturing environment experience highly preferred
    • Technical writing experience

How you will thrive and create an impact

The Bid Specialist develops and maintains bid content to support organizational growth. This role is responsible for the production and management of RFP responses and presentations, in addition to the administration of a proposal software platform. This position is also responsible for Microsoft Office templates and sales collateral for service lines and industry niches.

  • Assumes leadership role for each bid project (Project Management).
  • Responsible for the process of creating proposals, RFP responses and presentations, often under tight deadlines.
  • Writes, edits, formats, and produces low- to high-complexity proposal documents within given deadline/timeframe.
  • Uses project management tools and skills to manage the proposal process and builds the proposal document.
  • Conducts bid analyses.
  • Coordination cross-functionally (i.e., Commercial Operations, Business Development Project Management, Technical Teams, Finance, Senior Leadership) to obtain technical, budget and schedule information.
  • Assist in preparing responses to Requests for Information (RFIs), including coordination with SMEs/functional leads to prepare technical components of submissions.
  • Maintains content of templates for above-mentioned deliverables and sales collateral for all service lines, working with subject matter experts.
  • Performs timely and effective quality control (proofreading, formatting, etc.) of said deliverables and content.
  • Ensures library of proposals, RFP responses, sales collateral, content, and templates are kept current as messaging evolves.
  • Ensures proposal platform is effectively implemented and included resources are up to date.
  • Performs client research in CRM tool for proposal and business development (BD) purposes.
  • Performs quality control as necessary.

  • Work assignments are diversified. Examples of past precedent are used to resolve work problems. New alternatives may be developed to resolve problems.
