Facilites and Office Services ClerkFirm SummaryWhite & Case is an elite global law firm serving leading companies, financial institutions, and governments worldwide.Our long history as an international firm means we are perfectly placed to help our clients resolve their most complex legal challenges wherever they may be.With lawyers and staff operating from more than 47 locations, working in virtually every country of the world, we have invested heavily in building a high-quality full-service practice competing at the top of the market.We are distinguished by our on-the-ground presence in the world's key financial markets and our strengths in handling complex cross-border work.It's not just about our global network of offices and shared services centers; it's the global interconnectedness of the Firm that our people, and our clients, value most.We work well together across geographic and practice boundaries.It's one of the reasons we attract and retain cross-border work.Our lawyers are globally minded, enterprising, collaborative, and committed to excellence.Our people represent 90 nationalities and speak 80 languages.Position SummaryProvides support and assistance in the day Milan Office Trainees and provides support to all legal and non-legal departments and practice areas with large printing and binding assignments, archiving activities, preparation of bibles, stationary supplies and other specific occasional projects which may involve facilities and receptionDuties and AccountabilitiesBusiness administrator dutiesPrints documentsStationary check (multiple times during the day) and stationary orders (after check)Help facilities and reception with specific occasional projects or emergenciesArchiving activitiesPerform all large printing and binding assignments requested by Practice Assistants (define number of pages)Prepare electronic biblesFacilities support dutiesRuns errands outside the office when neededSets the tables of meeting rooms in view of the meetings that will be held when needed (equipping the meeting rooms with water, food in case of lunches/dinner, etc.)Prepares and serves beverages during the meetings when neededHelps clearing and cleaning the meeting rooms tables as soon as the meetings end when neededCheck the kitchens regularly and prepares dishwashersChecks bathroom regularly and reports issues if necessaryEnsures that all copy room are equipped with paper and stationaryDoes small handiworks when required (e.g. hanging pictures, replacing bulbs etc.)Assist in the day-to-day maintenance of office spaces, ensuring that they are maintained by outside vendors and building maintenancePrepare and install office and secretarial station name plates.Frequently check to ensure that all name plates are accurate and up-to dateAssist in ensuring that offices for new attorneys have been set-up and furnished appropriatelyRestocks the kitchen cabinets regularly during the daySupports in other activities which may be related to the above tasks as neededPersonal and technical skillsPreferred experience in Hospitality industryProactive, initiative taking, solution-orientedOrganised, adaptable, with a flexible approachGood communication skillsAbility to work under pressure and prioritise work to deadlinesEnjoy working as part of a teamAble to create and maintain good relationships with colleagues at any levelGood knowledge of the English languageBasic knowledge of OfficeLocation and ReportingThis role is based in Milan.This role reports to the Office Operations & HR Manager in the Milan officeThe firm may modify and amend this job description at any time in its sole discretion.Nothing herein creates a contract of employment or modifies the at-will nature of employmentThe above is a general description of the essential duties associated with this position and does not represent an exhaustive or comprehensive list of all duties.Primary Location: Italy-MilanExpected Workplace: OnsiteJob Posting: Nov 5, ****, 11:26:36 AM
