**Job Description**:
We are currently seeking an Executive Assistant as part of our dynamic team in Milan.
- How you will contribute:_
- Manage the daily schedule/calendar
- Coordinate all travel arrangements for Executives as needed (travels booking, VISA, documents )
- Complete expense reports for Executives
- Approve and submit office invoices to Accounts Payable for payment
- Partner with various departments to complete special projects as needed
- Submit timesheets for non-exempt employees to Payroll on a bi-weekly basis
- Perform general administrative duties including mail distribution, filing, answering phone calls, updating internal contact lists, and replenishing office supplies
- Manage ad hoc departments events
- Take care of the department offices facilities and stationery
- Who you are:_
- At least 5 years of previous work experience in a similar role within the luxury and arts industry
- Preferable international experience
- Exemplary verbal and written communication skills / able to communicate effectively across organization
- Fluent in English, Italian and French are a plus
- Detail and solution oriented, with an eye for quality
- Self-motivated with a strong sense of personal accountability
- Highly organized with strong follow up skills
- Proficient computer skills including Microsoft Office and Outlook
