  • Provide comprehensive professional secretarial and administrative support in our Wealth Management Division.
  • Assist with entity board meetings, ensuring timely preparation of all documents due, distribution of materials, and liaising with external corporate secretary consultants.
  • Support regulatory reporting activities in relation to company boards.
  • Act as the 'gatekeeper' by understanding the people/organization and protecting time in their diary; finding that "extra hour a day."
  • Prepare supporting documents ahead of each meeting and ensure the schedule is adhered to.
  • Ensure follow-ups to meetings are agreed and actioned.
  • Anticipate and resolve issues in advance, e.g., conflicting meetings.
  • Take responsibility for the smooth running and successful delivery of meetings and other events.
  • Organize all necessary hotel and travel arrangements (international and domestic) as required.
  • Accurately prepare travel itineraries which include contact details, key addresses, etc.
  • Accurately type/amend a range of documents that comply with corporate guidelines to a consistently high standard.
  • Compose routine correspondence where appropriate.
  • Answer the telephone in a professional manner, taking accurate messages and dealing with them in an appropriate and timely manner.
  • Manage email communication – flagging urgent requests and following up as necessary.
  • Reconcile expenses and claims promptly and accurately.
  • Maintain an up-to-date filing system, ensuring easy retrieval of information.
  • Deal with HR activities such as informing Payroll of absence and taking care of hiring and onboarding processes.
  • Manage relations with suppliers and liaise with IT specialists for systems access.

  • Advanced knowledge of Outlook, Word, PowerPoint, and Excel.
  • Excellent interpersonal skills to communicate clearly and effectively.

  • Ability to manage several projects simultaneously while achieving high standards of accuracy.
  • Proactive attitude with good judgment and common sense.
  • Self-motivated and a team player with a good sense of humor.
