About the Role

We are seeking a highly organized and detail-oriented Office Assistant to join our team at Miniclip. As an Office Assistant, you will play a vital role in maintaining a smooth and efficient office environment, ensuring that all staff and visitors have a positive experience.

Key Responsibilities

  • Maintain a clean and organized office space, ensuring that all areas are tidy and well-equipped.
  • Provide administrative support to employees, addressing inquiries, resolving issues, and assisting with various tasks.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation, and ensure all necessary documents are organized and provided in a timely manner.
  • Support the office manager in overseeing the cleaning team and ensuring the office is maintained in a clean and orderly condition.
  • Receive and distribute post and deliveries, and maintain inventory records.
  • Assist in planning and organizing office events, including meetings, celebrations, and team-building activities, and collaborate with team members to generate ideas and coordinate logistics.
  • Assist with merchandising activities, including ordering and organizing office supplies, promotional materials, and branded items.
  • Ensure a safe, tidy, and functional work environment for all employees, and assist the office manager as needed.
  • Assist with the onboarding process of new employees, including preparing workstations, coordinating IT setup, and facilitating orientation programs.
  • Manage and maintain various office systems, including phone systems, copiers, printers, and other equipment, and coordinate with IT support as needed.
  • Uphold a high level of confidentiality and discretion when handling sensitive information and documents.

Requirements

  • Experience as an office assistant or relevant administrative role.
  • Creativity and ability to think outside the box for event planning and company activities.
  • Proficient in using office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Detail-oriented with a focus on accuracy in completing tasks.
  • Proactive problem-solving skills and the ability to adapt to changing priorities.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills in English.
  • Strong interpersonal skills and the ability to work well in a team environment.
  • Familiarity with office equipment, such as printers, scanners, and photocopiers.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
