About the Role

Villanova University is seeking a highly skilled and experienced professional to join our team as a Student Enrollment and Engagement Specialist or Assistant Director. This role will play a critical part in managing the applicant admission process, from initial inquiries to deposit submission, and will be responsible for converting prospects and started applications to enrolled students in support of the University's enrollment goals.

Key Responsibilities
  • Enrollment Management
    • Communicate effectively and professionally with prospective students and departments as the primary point of contact regarding the application, decision process, and timeline to facilitate enrollment.
    • Direct questions appropriately to program staff.
    • Oversee the uploading of transcripts and application materials; Complete an initial review of applications for completeness; Manage the online application system to deliver scheduled correspondence at various stages of the admissions process, make modifications to the application, and communicate with prospective and accepted applicants.
    • Liaise with faculty and/or program directors regarding application deadlines, materials, and student status; Ensure validity and completeness of all applications prior to sending on to faculty for review.
    • Provide assistance to prospective applicants in completing the application, submitting required materials, or submitting a deposit.
    • Perform quarterly review of non-matriculated/specially admitted student records to determine eligibility for formal admission.
    • Provide ongoing communication with international applicants regarding their application status and I-20 status and work with the International Student Services office to send acceptance materials and I-20s to international students in a timely manner.
    • Support the Enrollment Operations team members when additional support or coverage is required.
  • Data Management
    • Work closely with the Director of Enrollment Management to maintain and track student data such as the number of completed applications, deposits, and number of enrolled students.
    • Maintain the Banner online application database and enrollment updates.
    • Update and maintain program files and databases on prospective, current, and past students.
    • Track, maintain, and report data on deferrals, accepted but did not enroll, and other various data points for the student population.
    • Complete enrollment reports requested by accreditation agencies and others externally and internally organizations.
    • Create, update, and distribute surveys for data collection and feedback.
    • Create and maintain all database reports.
    • Maintain and report historical and current trend data, highlighting potential areas of concern to inform recruitment strategy adjustments.
  • Post-Acceptance Support
    • Act as the point of contact for onboarding of newly enrolled students in the assigned programs and tracks.
    • Engage with students in the post-acceptance phase to support program needs, including event logistical support.
    Requirements
    • Professional Competencies
      • Must have excellent written and verbal communication skills and strong attention to detail.
      • Must convey a highly professional demeanor and be a team player, and demonstrate excellent customer service skills.
      • Must have the ability to handle a fast-paced environment and manage multiple projects/tasks with varied deadlines and frequent interruptions.
      • Ability to maintain absolute confidentiality while understanding the larger framework for detailed operation.
      • Administrative skills and office operations, preferable in an academic environment.
      • Proficient in word processing, spreadsheet, database, and presentation software (Microsoft Office products).
      • Keeps current with Villanova University job-related technologies and databases.
    • Education and Experience
      • For Specialist: Bachelor's degree required; 3+ years of relevant and applicable experience required; Must have direct experience in student support, academic advising, and/or professional development at an institution of higher education.
      • For Assistant Director: All of the above and 5+ years of relevant and applicable experience required.
      Preferred Qualifications
      • Master's degree
      • Experience in a higher education institution supporting enrollment operations for graduate programs
      • Experience using Slate or other CRM system
