Travel Officer

La figura del Travel Officer è essenziale per l'organizzazione degli spostamenti dello staff di EMERGENCY. La persona in carica deve avere una buona conoscenza della lingua inglese e delle procedure di viaggio.

Compiti e responsabilità
  • Prendere in carico la parte logistica legata alla partenza degli espatriati;
  • Redigere ed aggiornare le Travel Policies;
  • Richiedere tutta la documentazione necessaria per ottenere il work permit e consentire un sicuro accesso e permanenza delle persone nel Paese;
  • Avviiare le pratiche per apertura/chiusura dell'assicurazione e fornire una reportistica mensile aggiornata sugli staff assicurato all'Ufficio Servizi Generali e all'agenzia di assicurazione;
  • Rapportarsi con le agenzie viaggi e le compagnie aeree al fine di valutare le soluzioni di viaggio maggiormente rispondenti alle esigenze dell'Organizzazione;
  • Effettuare ogni sei mesi un follow-up del corporate agreement con principali compagnie aeree utilizzate;
  • Rapportarsi con ambasciate e/o altri attori istituzionali al fine di agevolare gli spostamenti dello staff;
  • Predisporre e inviare il materiale utile pre-partenza: magliette di EMERGENCY, badge etc. che possano rendere identificabile la persona al suo ingresso nel Paese;
  • Collaborare con gli Ufficio Logistici di progetto per assicurare che ci sia una comunicazione fluida e puntale degli arrivi (e dei rientri) nel Paese, e che le policies e le procedure di visa & booking siano correttamente implementate e seguano gli standard stabiliti dall'Ufficio Logistics & Supply del FOD;
  • Assistere lo staff in viaggio in caso necessiti di informazioni e/o di un supporto legato alla risoluzione di un problema logistico;
  • Comunicare all' Ufficio del Personale le date di partenza e rientro degli espatriati e per far sì che ci sia un allineamento sulle date di inizio e fine del contratto di lavoro;
  • Produrre una reportistica completa (sul numero di voli, compagnie aree, paesi di origine etc.) che possa guidare determinate scelte future e consenta un'anali e un monitoraggio dei costi.

La persona in carica deve avere una buona conoscenza della lingua inglese e delle procedure di viaggio. È richiesta una buona capacità organizzativa e di pianificazione, nonché una buona dimestichezza nell'uso di Microsoft Excel.
