Atlante is building a network of Fastcharging stations for electrical vehicles across Italy, France, Spain and Portugal. Atlante’s network will be truly unique: 100% powered by renewables (including on-site solar), enabled by battery storage and grid-integrated. Atlante was set up and is owned by NHOA - the world’s third largest energy storage player - and benefits from the support of Free2Move eSolutions (a JV between NHOA and Stellantis, dedicated to charging solutions) as preferred hardware supplier, and Stellantis itself as preferred fastcharging network partner.
By developing its unique Fastcharging network, Atlante intends to contribute to NHOA’s wider energy transition mission, by enabling more drivers to switch to zero emission mobility, as fast as possible. Position
You will join Atlante as Administrative Specialist reporting to the Head of ESG. Your area of responsibility will be Atlante’s Head Quarters’ administrative tasks. Your role will combine the seamless management of certain processes, with secretarial tasks and including the preparation and maintenance of certain documents. At times, you might be required to manage specific projects within your area (e.g.: setting up of new processes or procedures) or to attend to ad hoc tasks. You will liaise closely with top management, most of the Head Quarters’ colleagues and some external providers.
**Your main tasks will be**:
- Management of regular compliance tasks, including as indicated by the Legal team (e.g.: renewal of licenses etc)
- Management of small purchases and related accounting and admin tasks, including petty cash management;
- lssue of purchase requests, management of the documentation for the qualification of new supplier and coding of new items to be purchased;
- Management of the Executive Team agenda, including organization of meetings and travel, reservations and request for visas;
- Monthly reporting of CEO and Executive Team’s travel expenses;
- Travel management: management of health insurance, vaccines and practices for staff involved in business trips abroad;
- Prof reading of draft documents and presentations. Ideally also desk-top editing of basic presentations;
- Car fleet management: administrative management of both pooled cars and company cars, including compliance with policies, following up purchases / leasing of vehicles, insurance requirements, scheduling of regular maintenance.
- Additional Head Quarters related task, e.g.: renewal of corporate insurance policies; managing subscriptions to trade associations and/or magazines; printing of information material etc.
**Requirements**:
- Any degree (University or professional education) in office administration or a related field will be a plus
- Previous experience with, or an ability to learn to use common office equipment
- Comfort multitasking and handling multiple requests from different individuals and departments
- Demonstrated self-organization skills, meticulous and with high degree of attention to detail
- A strong motivation and ability to anticipate needs
- Ability to work quickly and in a potentially fast-moving and dynamic environment
- Strong communication skills and extremely self-motivated when managing communication channels
- Working knowledge of Microsoft Office Suite, including Word, PowerPoint, and Excel
- Fluency in English will be a strong plus. French, Spanish or Portuguese also relevant.
