BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The WFP Alumni Network (AN) is organized around an elected committee of eight (8) members, plus coordinators representing over ten (10) plus chapters around the world accountable to over 500 members. Because alumni do not have access to WFP systems, the WFP AN requires a full time WFP contracted professional to support the work of the committee including to manage the expansion of the Alumni Network, ensure the quality of the AN website, as well as fulfil increased responsibilities as outlined in the TOR. The focus is on increasing speed to value, usability, quality and strategic relevance of the investments WFP makes. This position is fundamental for the Alumni Network to reach and engage with its audience and to accomplish its role as a force aggregator in support of the several activities of advocacy for WFP.
Responsibilities
Under the direct supervision of the Head, Social Security Branch, the incumbent will have the following responsibilities for the WFP Alumni Network:
1. Alumni Network Focal Point
Process and manage routine administrative and financial tasks in various functional areas (including taking relevant actions in the WFP HR/Financial systems and manage online bank accounts), to contribute to the effective and timely management of Alumni Network resources. Organize meetings of the AN Coordinating Committee (ANCC), finalize minutes and follow-up on required actions, organize the AN biennial meetings/side events and arrange ad-hoc meetings, webinars as required.
2. Collate, analyze and archive.
Collate information for inclusion in reports, documents and correspondence, to support the effective work of the AN Headquarters office in Rome. Develop and review AN Treasury monthly report on membership fees and monitor and manage the online bank account system of the AN. Systematically document bilateral WFP in-house discussions, share drafts with ANCC Chair/Deputy Chairs for clearance, and archive finalized documents for institutional memory.
3. Liaison.
Liaise with WFP organizational units and offices, respond to standard queries and provide timely and accurate guidance. Liaise with WFP technical departments and vendor to perform necessary tasks to ensure the new AN Website operates effectively and is accessible to all members. Share timely feedback with ANCC Chair & Deputy Chairs.
4. Membership.
Manage and review regularly Member access and registration, as well as adherence to guidance and policies to the AN enrolment. Undertake necessary follow-up for payment of membership fees. Liaise with HQ divisions to ensure AN membership information is shared with separating employees and benefits of joining announced on WFPGO. Regularly provide to the committee lists of CDs, organizational charts, etc. to ensure regular communications of AN activities and membership benefits shared. Manage and maintain records and databases, to ensure information is organized and readily available for staff. Develop and maintain an electronic alumni directory, complete with contact information and profiles, which include WFP experience to support collecting information for the Alumni History Initiative.
5. AN Country Chapters.
Service AN Country Chapters and provide required support to AN Members in various locations around the world including support for membership drives, sharing updates from other chapters, supporting chapter content on the website. Share information on new and potential alumni with Chapter Coordinators to enable direct conversations with the individual(s) that would help foster interest in WFP AN.
7. Website Administration.
Format and design the AN Newsletters in close coordination with the Editor, manage the update of the AN website in liaison with TEC. Act as Website Administrator, ensuring timely and regular updates and uploading of information on the new website. Undertake training needed to strengthen website management capacity. Collaborate with ANCC identified team of members who will assist with identifying material for the website. Liaise with technical departments and website vendor as needed. Document actions required for website administration to develop accurate TORs for the role.
8. Organize and participate in the annual AN country visit when scheduled.
9. Organize special AN events online and in person as required.
DELIVERABLES AT THE END OF THE CONTRACT:
Increase number of AN members AN Newsletters formatted and uploaded on the website Provide necessary briefing and services to existing and new AN country chapters Smooth functioning and maintenance of the website and its functionalities Update and review of the AN members repository Ensure follow-up for timely payment of member fees Timely delivery of AN Treasury reports Archiving system updated with AN documents and correspondents Ensure timely support provided to activities under the Alumni History Initiative (AHI) Develop template for the AN General Meeting actions Prepare action plan after each periodic ANCC meeting Develop in the 6 months of the contract of operation of the website, TORs for the role website administrator Monitor document and share any technical website issues reported to the WFP technical team and external vendor Develop during the first month of the assignment a detailed annual workplan with deliverables and timeline for the ANCC specifying role of FP
QUALIFICATIONS AND EXPERIENCE REQUIRED:
Education: University Degree in management or administration or international affairs
Experience: Minimum of 5 years of WFP experience and UN system
Knowledge & Skills: Ability on website management; Proficiencies in liaison, office administration and Microsoft package.
LANGUAGES: English (level C) and knowledge of second UN language, preferably French and Spanish.
