Studio Over is looking for a highly organised and proactive executive assistant to work closely with our CEO to drive the studio's growth and improve day-to-day efficiency. This strategic support role involves new business development, CRM management, scheduling and administrative coordination.
The ideal candidate will be detail-oriented, resourceful and interested in how design-driven businesses grow. You will work alongside the CEO to help manage priorities, streamline operations and accelerate business development.
The role involves supporting with a variety of tasks, primarily related to client acquisition and organisation. You will play a key role in managing our CRM system, organising the agenda, drafting proposals, and maintaining a smooth daily workflow.
We are looking for someone who enjoys working behind the scenes to make things run better, faster and more efficiently.
Key Responsibilities
Managing and organizing the CEO's schedule, coordinating meetings and calls across time zones.
Supporting in the preparation and follow-up of client proposals and presentations.
Using and maintaining the CRM system to structure and monitor lead generation activities.
Researching new potential clients and helping prioritize outreach actions.
Supporting basic administrative and financial data entry tasks.
What we're looking for
Excellent organizational and time-management skills
Flexible and versatile mindset, able to adapt to different tasks and contexts
High attention to detail and ability to prioritize autonomously
Proactive attitude and willingness to learn fast
Basic familiarity with CRM tools, Excel and Google Suite
Strong written and verbal communication (Italian and English; German is a plus)
