and let's make magic happen together.Role OverviewAs a Front Desk Coordinator, you will warmly welcome visitors, manage mail and guest access, maintain a clean front office, collaborate with departments for effective communication, and propose improvements to optimize the visitor experience.You will be reporting to the Head of Facility Management you will be part of the Facility team in charge of managing hard and soft services in our new HQ. Your mission:Provide a positive hospitality experience. Warmly welcome visitors, guests, and employees, ensuring a professional and friendly atmosphere.Register and control guest access. Manage guest access in the system, oversee incoming and outgoing mail, and handle packages.Maintain a clean and organized front office. Keep the reception area tidy and collaborate with internal departments for effective communication and accurate information flow.Identify and propose process improvements. Continuously seek opportunities to enhance reception processes and optimize the visitor experience.Reception management. Warmly welcome visitors, guests, and employees, providing a positive and professional hospitality experience.Access management. Register and control guest access in the system.Mail and package handling. Manage incoming and outgoing mail, including receiving and distributing packages.Front office maintenance. Maintain a clean and organized front office area.Internal collaboration. Collaborate with internal departments to ensure effective communication and accurate information flow.Process improvement. Identify opportunities to improve reception processes and propose solutions to optimize the visitor experience.Your ideal profile: Preferred experience in a front desk role. Ideally, you bring previous experience as a receptionist or in a front desk position, with excellent verbal and written communication skills in Italian and English.Strong interpersonal skills. You’re able to work well with a diverse range of people and provide excellent customer service.Basic computer proficiency. You are familiar with key computer tools and proficiency in using a guest management system or similar software is a plus.Adaptability in a fast-paced environment.
