Job Overview
The Office Operations Manager in Milan will be instrumental in maintaining the seamless and effective functioning of our office. This role involves overseeing office facilities, nurturing supplier relationships, and executing various administrative responsibilities to assist the Milan team. The ideal candidate will exhibit exceptional organizational skills, a proactive approach, and the ability to juggle multiple priorities in a dynamic environment. The Office Operations Manager will also provide vital support for onboarding new employees, managing health and safety initiatives, and facilitating communication between the Milan office and other departments within CoreView.
Key Responsibilities
Office Management and Organization:
- Oversee and enhance relationships with suppliers: renew or improve cleaning and maintenance services, manage supplier communications.
- Plan and schedule office maintenance activities: coordinate with maintenance technicians for routine and emergency repairs.
- Maintain communication with the landlord regarding any issues or emergencies.
- Ensure the upkeep of break areas and conference rooms: monitor organization, cleanliness, and supplies.
- Manage overall supplier relationships for the Milan office, including staff access passes, desk and meeting room reservations, and billing coordination with the Finance Department.
Administrative Support for the Milan Office:
- Handle front office and general secretarial tasks.
- Manage corporate purchasing activities: oversee vendor management, stationery procurement, and miscellaneous office supplies.
- Organize and archive both digital and physical documents.
- Assist other departments in organizing events, catering, and team lunches or dinners.
- Facilitate the onboarding process for new hires: prepare necessary documents, welcome kits, and manage access badge assignments.
- Coordinate shipments via courier within Italy and internationally.
- Process monthly attendance and meal vouchers, supporting colleagues with maternity leave, sick leave, and holiday requests.
- Oversee Health & Safety activities: organize mandatory medical visits, safety training, and maintain contact with health and safety suppliers.
- Support the Finance Department with customer reminders, invoice archiving, VAT register control, and invoice dispatch.
