Job Title: Assistant Project Manager

About the Role:

Creative Artists Agency (CAA) is seeking a highly organized and detail-oriented Assistant Project Manager to support the CAA ICON team in the delivery of large-scale sports and entertainment venue projects. As a key member of the project team, you will provide administrative support, maintain project tracking logs, and assist in the preparation of project documents.

Key Responsibilities:

  • Provide technical and administrative support to project managers, directors, and executives in the preparation of project documents, including owner's/project briefs, request for proposals (RFPs), and client reports.
  • Attend project and construction meetings, maintain minutes, and track project progress.
  • Maintain project tracking logs, including design compliance, risk and opportunity registers, open requests for information (RFIs), and non-conformance registers.
  • Assist in the preparation of project monthly pay applications and assist with document filing.
  • Support meeting scheduling, travel planning, and logistics for the project team.

Requirements:

  • Previous experience in the construction or related services industry.
  • Bachelor's degree in construction, engineering, or a related field, or equivalent work experience.
  • Exceptional communication and organizational skills.
  • Ability to multitask, problem-solve, and master new concepts quickly.
  • Familiarity with Microsoft Office Suite and Adobe Creative Cloud.
  • Proficient in Italian and English, with ability to assist with translation of documents.
