Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to provide support to our Business Development and Legal Functions. The successful candidate will be responsible for ensuring the smooth day-to-day administrative operations, handling sensitive client and partner communications, and preparing reports and presentations.

Key Responsibilities
  • Provide administrative support to the Business Development and Legal Functions, including handling client and partner communications, preparing reports and presentations, and ordering office supplies.
  • Collaborate with the team to organize business trips, manage time and attendance, and process expense reports.
  • Assist in the preparation of tender documentation under the guidance of proposal managers.
  • Update customer communication systems, Legal Tool, and Intranet on a regular basis.
  • Support the onboarding process of new employees.
Requirements
  • 5 years' experience as an administrative assistant or project assistant, preferably in an international matrix organization.
  • Fluent in English and Italian.
  • Good knowledge of MS Office and tendering procedures.
  • Experience in organizing meetings and events, as well as travel and expense management.
  • Proactivity, impeccable manners, and effective communication skills.
