Job Overview

Position:

Operations Associate

Objective:

To guarantee the optimal utilization of packaging materials and supplies within the warehouse to meet both client and internal demands.

Key Responsibilities:

  • Verify that all received shipments are scanned upon arrival and matched against the manifest, ensuring accuracy in quantity and weight.
  • Restock shipments as necessary, adhering to temperature specifications.
  • Acquire knowledge of the transportation system to accurately update shipment milestones.
  • Generate pre-alerts for agents based on shipment location, ensuring all items are scanned out and properly documented, and create flight itineraries for shipments.
  • Accurately input flight itineraries into the transportation management system.
  • Conduct inventory checks within the facility, ensuring proper handling according to temperature, delivery timelines, and special handling instructions.
  • Elevate any inquiries or concerns to senior personnel and management.
  • Safely manage dry ice and replenish shipments as needed.
  • Oversee 'On Hold' and 'Not OK to Send' shipments in accordance with established procedures.
  • Issue airline airway bills for both domestic and international shipments.
  • Complete GxP documentation logs as required.
  • Assist in the dispatch and tendering of shipments to airlines, as well as their recovery.
  • Monitor product temperature and replenishment requirements.
  • Manage the conditioning process for packaging.
  • Prepare shipping documentation in line with company guidelines.
  • Ensure a consistent supply of shipping materials is maintained.
  • Receive, unload, and properly store incoming inventory items.
  • Maintain a clean and organized warehouse environment on a daily basis.
  • Review and ensure accuracy of documentation, labeling, and markings accompanying each shipment.
  • Responsible for preparing shipments designated as Next Flight Out.
  • Post-flight, confirm that all shipments departed on the scheduled flight.
  • Perform additional duties as necessary to support the Operations Team in completing daily tasks.

Qualifications:

  • Familiarity with operating systems (Maestro) and standard operating procedures (SOPs).
  • Experience in cold chain management and handling of dry ice.
  • Proven ability to accurately label shipments (including weight, contents, orientation, overpack, etc.).
  • Knowledge of airline booking procedures.
  • Proficient in data entry within a transportation management system.
  • Flexibility in shift coverage is essential.
  • Forklift certification is preferred.
  • Experience in dispatch operations is a plus.
