Job Overview

The Academic Operations Coordinator will report to the Student & Academic Services Supervisor, managing class timetables and bureaucratic activities throughout the academic year. Key responsibilities include scheduling lessons, exams, and other academic events, while supporting the Supervisor in maintaining relationships with teachers and other departments. Additionally, the role involves technological implementations aimed at enhancing the academic process, in accordance with HQ guidelines.

Key Responsibilities

Courses Planning – The Academic Operations Coordinator will assist the Supervisor in:


• ensuring accurate completion of the Teaching Assignment and scheduling courses;


• preparing course timetables and distributing them to teachers and students;


• optimizing space management for events to enhance the educational program;


• planning the exams calendar;


• designing the necessary database structure and implementing it;


• verifying the correct information flow with regional and ministerial institutions.

Faculty and PL Support – The Academic Operations Coordinator will support the Student & Academic Services Supervisor in managing relationships with academic representatives (teachers, program leaders) for educational activities, including lesson timetables, registrations, trips planning, exams, and marks publication.

ICT - Academic Development – The Academic Operations Coordinator will collaborate with the Student & Academic Services Supervisor and HQ to implement technology enhancements for academic activities, monitoring their implementation and suggesting improvements to make academic services more user-friendly.

Library – The Academic Operations Coordinator will manage the Library, handling volumes and materials for educational research while adhering to the annual budget and providing a monthly report to the Director of Education. The coordinator will also maintain up-to-date technical software and magazine (online research platform, online cataloging) by analyzing usage over the year and supporting students in research by suggesting available materials and methods.

Requirements and Skills


• At least 3 years of experience in academic planning, preferably in schools or universities;


• Office software proficiency, particularly Excel;


• English proficiency;


• Precise and organized individual;


• Team player;


• Hyperplanning knowledge is a plus.
