**Office Administrative Assistant - Job Description**

The Office Administrative Assistant will perform a variety of routine clerical duties, among which:

- enter purchase orders data in the management system,
- provide support to team members and Clients in general administrative activities.

**Responsibilities**:

- Enter purchase orders data in the management system.
- Manage the office document and digital archives.
- Keep track of representative agreements expiring dates.
- Support preparation and release of invoices, maintain Client databases, track accounts, assist with checking out and distributing production orders.
- Support credit collection activities.
- Act as the point of contact for Clients and buyers.
- Collaborate with colleagues and Clients to ensure buyers’ satisfaction.
- Assist in the preparation of regularly scheduled reports.
- Coordinate office activities and operations to secure compliance with company policies.
- Manage clerical tasks, phone calls, mail, photocopy.
- Track stocks of office supplies and place orders when necessary.
- Maintain archives, both paperwork and digital.
- Greet and support visitors.
- Manage travel authorizations/arrangements and expenses reports.
- Maintain relationships with vendors, service providers and landlord.

**Requirements**:

- Fluency in both English and Italian languages an essential must.
- Patience and ability to manage stress.
- Proven office management, administrative and assistant experience.
- Knowledge of office management systems and procedures.
- Time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Knowledge of accounting, data and administrative practices and procedures.
- Knowledge of clerical practices and procedures.
- Computer skills and knowledge of office software packages and general databases
- High school diploma, associate/bachelor’s degree a plus.

Contratto di lavoro: Tempo pieno
