EXECUTIVE ASSISTANT The profile:

The Executive Assistant enhances executive's effectiveness by providing information management support. Main duties include scheduling meetings, making travel arrangements, organizing daily calendars, meeting deadlines, communicating effectively, and representing the executive to others.

Main Responsibilities: Act as the point of contact between the executives and internal/external clients;Undertake the tasks of receiving calls, taking messages, and routing correspondence;Handle requests and queries appropriately;Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel;Monitor office supplies;Produce reports, presentations, and briefs;Develop and carry out an efficient documentation and filing system;Welcome guests and customers by greeting them, in person or on the telephone;Answer or direct inquiries;Maintain customer confidence and protect operations by keeping information confidential;Complete projects by assigning work to clerical staff and following up on results;Prepare reports by collecting and analyzing information;Secure information by completing database backups;Contribute to team effort by accomplishing related results as needed. Qualifications: At least 5 years of experience in the pharma industry in similar roles;Full comprehension of office management systems and procedures;Excellent knowledge of MS Office;Proficiency in English;Exemplary planning and time management skills;Ability to multitask and prioritize daily workload;High level verbal and written communication skills;Discretion and confidentiality.
