At BYD Europe, we are seeking an exceptional Office Assistant to join our team in Milan. As the first overseas subsidiary of BYD group, our focus is on providing European customers with new energy vehicles, rechargeable batteries, solar panels, energy storage systems, and related after-sales services.
The successful candidate will support and assist the Office Manager in setting up, maintaining, administering, and ensuring the daily operations of the office in Milan. With our fast-growing business, we are planning to increase our personnel and office spaces. Our goal is to provide a good working and living environment for our colleagues and branch offices.

About the Office Assistant Role
The Office Assistant is the primary interface for external and internal stakeholders to ensure a reliable office environment. This role also supports the development of intra-office communication protocols and streamlining administrative procedures to ensure organizational effectiveness, efficiency, and safety.
Key Responsibilities
- Support the Italian Team, HR, Finance, Procurement, and other relevant departments
- Support the Country Manager and Italian Team Leaders in managing procedures, organizational processes, administration, and procedures
- Monitor and timely signal obstacles
- Initiate, plan, prepare, and organize various internal meetings with other departments, formal and informal, including preparing agendas, managing calendars, and gathering relevant information
- Assist in managing internal communication, internal presentations, and posting news and events
- Conduct reception tasks and serve as the first point of contact for visitors, contacts, and operational organizational matters
- Coordinate event-related lunches, social events, and special occasions (birthdays, anniversaries, etc.)
- Assist in managing office stock, inventories, orders, and overall cleanliness of the office; manage relationships with tenants, suppliers, and service providers
- Support HR in planning and organizing scheduled courses and safety trainings
- Assist in managing supplier contracts in cooperation with HQ Procurement department and serve as the first point of contact for facility issues (maintenance, ICT, mobile phone, internet, and subscriptions) and Company cars fleet
- Work closely with relevant providers to ensure a reliable office environment and ICT-related onboarding and offboarding of staff members
- Support colleagues with various questions and requests
- Deal with postal and courier services (incoming and outgoing) and associated equipment
- Support office configurations, which may include installing, dismantling, and relocating furniture, moving crates, etc.
Requirements
We are looking for a highly motivated and confident individual with a high level of accuracy and ability to multitask and aim to target. The ideal candidate should have:
- 3-5 years of relevant experience
- Excellent verbal and written communication skills in Italian and English, with Chinese being a plus
- Excellent knowledge of Microsoft Suite, with good skills in PowerPoint
- Knowledge of modern archiving and documentation methods
- Able to work in a dynamic and fast-paced environment
