Administrative Support Specialist for Business Development and Legal Functions

Job Summary
Hitachi Zosen Inova AG is seeking an experienced Administrative Support Specialist to provide efficient and smooth day-to-day administrative support for the Business Development and Legal Functions, both based in HQ and European subsidiaries.
Key Responsibilities
- Handling sensitive client and partner communications
- Preparation of reports and presentations, ordering office supplies, collaborating in projects
- Organization of business trips, time, and attendance control, managing of expense reports
- Writing tender documentation under the guidance of proposal managers, primarily in English
- Handling general tasks related to the commercial register and Ultimate Beneficial Owner
- Regularly updating customer communication systems, Legal Tool, and Intranet
- Supporting the onboarding process of new employees
Requirements
- 5 years' experience as an administrative assistant or project assistant - preferably within an international matrix organization (industrial environment)
- Fluent in English and Italian
- Good knowledge of MS Office and tendering procedures
- Experience in organization of meetings/events and in travel/expense management
- Proactivity, impeccable manners, and effective communication skills
