Job Summary

Hitachi Zosen Inova AG is seeking an experienced Administrative Support Specialist to provide efficient and smooth day-to-day administrative support for the Business Development and Legal Functions, both based in HQ and European subsidiaries.

Key Responsibilities

  • Handling sensitive client and partner communications
  • Preparation of reports and presentations, ordering office supplies, collaborating in projects
  • Organization of business trips, time, and attendance control, managing of expense reports
  • Writing tender documentation under the guidance of proposal managers, primarily in English
  • Handling general tasks related to the commercial register and Ultimate Beneficial Owner
  • Regularly updating customer communication systems, Legal Tool, and Intranet
  • Supporting the onboarding process of new employees

Requirements

  • 5 years' experience as an administrative assistant or project assistant - preferably within an international matrix organization (industrial environment)
  • Fluent in English and Italian
  • Good knowledge of MS Office and tendering procedures
  • Experience in organization of meetings/events and in travel/expense management
  • Proactivity, impeccable manners, and effective communication skills
