Position Overview

At World Courier Italia srl, our personnel are integral to our mission of enhancing health outcomes globally. We are committed to providing exceptional service, and each member plays a vital role in achieving this goal.

Role Summary

We are seeking a dedicated Customer Service Representative to support clinical trial initiatives for our esteemed clients. This role serves as the primary liaison for designated clients, delivering tailored operational and customer service assistance by:

  • Addressing inquiries, managing bookings, and generating reports.
  • Designing shipping solutions tailored to specific client needs.
  • Maintaining accurate database records.

The ideal candidate will work on a rotational shift schedule, Monday through Friday, with occasional coverage required on public holidays.

Key Responsibilities

  • Responding to client and agent inquiries via phone and email.
  • Processing bookings through phone/email and entering orders into the World Courier system.
  • Overseeing database management, including:
    • Logistical setup for new clients and data entry.
    • Ensuring that international sites receive necessary instructions and providing copies upon request.
    • Updating the database and processing requested changes.
  • Monitoring and tracking shipments, addressing any deviations from the planned route.
  • Keeping clients and World Courier offices informed about shipment statuses, particularly regarding delays.
  • Managing notes within the system.
  • Determining appropriate shipping solutions and addressing packaging concerns.
  • Communicating temperature results promptly after delivery, noting any discrepancies.
  • Compiling and following up on daily, weekly, and monthly reports specific to studies.
  • Recognizing and utilizing important information effectively.
  • Adhering to regulations (ADR/DGR/AITA) and local guidelines.
  • Building and nurturing relationships with clients and World Courier offices.

Candidate Profile

  • Educational background in business administration or a related field.
  • Fluency in English and Italian, both written and verbal.
  • Prior experience in B2B customer service, preferably in an international context.
  • Familiarity with logistics or pharmaceutical sectors is advantageous.
  • Professional demeanor and strong presentation skills.
  • Proficient in Microsoft Office Suite (PowerPoint, Excel, Word).
  • Excellent communication skills, both verbal and written.
  • Ability to manage multiple tasks independently, work under pressure, and meet deadlines.
  • Strong organizational and time management capabilities.
