About the Job
Gilead Sciences S.r.l. is seeking an experienced Administrative Support Specialist to join our team in Rome, Italy. This role will provide administrative and clerical support to the General Manager and contribute to the day-to-day operations of our affiliate.
Key Responsibilities:
- Provide administrative assistance to the General Manager, including managing projects and coordinating tasks.
- Organize HQ visits, create presentation materials, and draft technical documents as needed.
- Manage data collection, tracking, and verification from multiple sources.
- Prioritize workload, manage admin staff responsibilities, and coordinate large projects with minimal supervision.
- Create reports, documents, and presentations using raw data, and contribute to business continuity plans.
- Screen and prioritize mail and email for the General Manager, assist with facilities space planning, and support events coordination.
- Collaborate with guests and speakers, assess needs, and coordinate travel, hotel, and expense reports.
Requirements:
- Demonstrated experience in an administrative role, preferably in a GM's office, with at least 5 years of relevant experience.
- High school diploma required; a degree in a related field is an asset.
- Excellent English and Italian language skills (C1 level), strong interpersonal skills, and knowledge of administrative policies and procedures.
- Advanced proficiency in office software, including Excel, PowerPoint, and Oracle or SAP.
- Able to work under minimal supervision and preferentially belong to 'categorie protette'.
What We Offer:
We offer a competitive salary of approximately €60,000 per annum, commensurate with experience, plus additional benefits, including health insurance, retirement plan, and paid time off.
