Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to provide support to our Business Development and Legal Functions teams. As a key member of our team, you will be responsible for ensuring the efficient and smooth day-to-day administrative support for our business operations.
Key Responsibilities
- Client and Partner Communication: Handle sensitive communications with clients and partners, ensuring timely and effective responses to their inquiries.
- Report Preparation and Presentation: Prepare reports and presentations for business development and legal functions, utilizing your excellent writing and communication skills.
- Office Administration: Manage office supplies, coordinate business trips, and maintain accurate time and attendance records.
- Tender Documentation: Assist in the preparation of tender documentation under the guidance of proposal managers, primarily in English.
- Commercial Register and UBO Management: Handle general tasks related to the commercial register and Ultimate Beneficial Owner, ensuring compliance with regulatory requirements.
- Customer Communication Systems: Regularly update customer communication systems, Legal Tool, and Intranet, ensuring accurate and timely information.
- New Employee Onboarding: Support the onboarding process of new employees, ensuring a smooth transition into the company.
Requirements
- Experience: 5 years' experience as an administrative assistant or project assistant, preferably in an international matrix organization (industrial environment).
- Language Skills: Fluent in English and Italian.
- Technical Skills: Good knowledge of MS Office and tendering procedures.
- Soft Skills: Proactivity, impeccable manners, and effective communication skills.
