As a Contract Administration Specialist, you will play a crucial role in supporting the Project Manager/Project Director in the seamless management of contracts and any associated consortium or joint venture agreements.

Key Responsibilities:

  • Facilitate the transfer of contractual documents and essential information to the Project Team, ensuring clarity through dedicated contract induction sessions.
  • Prepare necessary tools for project execution, including contract diagrams, notice lists, and standard notice templates.
  • Identify and communicate contractual provisions to vendors for the finalization of Special Purchase Conditions.
  • Relay essential contractual provisions to subcontractors to aid in the development of Project Special Subcontracting Conditions.
  • Draft and maintain documentation to ensure confidentiality obligations are met by the Operating Company, subcontractors, and vendors.
  • Assist the Project Manager/Project Director and Project Team in navigating contract-related issues.
  • Compose correspondence regarding contractual matters.
  • Document instances of non-compliance by clients and partners, assess implications on cost and timeline, and inform the Project Manager/Project Director for necessary notifications.
  • Identify and prepare change order requests and claims, collaborating with the Project Control Manager and other team members, and ensure timely submission to the Client.
  • Engage in negotiations concerning change orders and claims.
  • Maintain records of the status of change orders and claims.
  • Identify delays and disruptions caused by client or partner responsibilities or force majeure events, ensuring proper notifications are made.
  • Participate in the negotiation and finalization of contract amendments, with support from the Contract Negotiator as needed.
  • Promptly inform Legal Affairs and Contracts of potential disputes that may lead to litigation.
  • Assist Legal Affairs and Contracts in managing litigation processes.
  • Support Project Risk/Opportunity Management in evaluating project risks during the execution phase.
  • Collaborate with Group Treasury in managing project bank warranties.
  • Assist the Project Control Manager in overseeing invoices issued to Clients and/or Partners.
