As a key member of the project team, the Contract Administration Specialist will support the Project Manager/Project Director in the effective management and oversight of contractual agreements.

Primary Responsibilities:

The role involves the following critical activities:

  • Facilitating the transfer of contractual documents and essential information to the Project Team, ensuring all members are well-informed through dedicated contract induction sessions.
  • Preparing necessary tools for project execution, including a comprehensive contract diagram, a list of required notices and communications, and standardized notice templates.
  • Identifying key contractual provisions that need to be communicated to vendors, and collaborating with the Project Procurement Manager/Coordinator to finalize Special Purchase Conditions.
  • Working closely with the Project Subcontracting Manager/Coordinator to relay essential contractual provisions to subcontractors for the establishment of Project Special Subcontracting Conditions.
  • Drafting and managing documents to ensure confidentiality obligations are met by the Operating Company, subcontractors, and vendors.
  • Assisting the Project Manager/Project Director and team members in addressing contract-related issues effectively.
  • Maintaining accurate records of instances where clients and partners fail to meet their contractual obligations, evaluating the implications on cost and timeline, and informing the Project Manager/Project Director for necessary notifications.
  • Identifying and preparing change order requests and claims with the support of the Project Control Manager and other team members, ensuring timely submission to the client with all required documentation.
  • Participating in negotiations regarding change orders and claims to achieve favorable outcomes.
  • Keeping track of the status of change orders and claims throughout the project lifecycle.
  • Identifying delays and disruptions attributable to client or partner responsibilities, or due to force majeure, and ensuring proper notifications are made.
  • Assisting in the negotiation and finalization of contract amendments, with support from the Contract Negotiator as necessary.
  • Promptly informing the Legal Affairs and Contracts team when disputes with clients and partners may lead to litigation.
  • Supporting Legal Affairs and Contracts in managing litigation processes as required.
  • Contributing to Project Risk/Opportunity Management by evaluating project risks quantitatively and qualitatively during the execution phase.
  • Assisting Group Treasury in the management of project bank guarantees.
  • Supporting the Project Control Manager in managing invoices issued to clients and/or partners.
