Position Summary: The Administrative Assistant II fulfills a critical role in the Department of Theology and Religious Studies (TRS). Provides administrative support for the chairperson, program directors, and faculty; coordinates department and program events; maintains social media presence and serves as the department webmaster.
Duties and Responsibilities:
Event Planning: Manage departmental events sponsored by the department or the chair, including receptions, talks, conferences, colloquia, faculty retreats, and other meetings.For all events, as necessary:Serve as administrative point of contact for all event details, including confirming date and location, creating advertisements (print and online), organizing catering, creating websites and registration portals. Maintain relationships with catering vendors and negotiate contracts.Social media and Communication: Maintain active social media presence on website, Twitter, and Facebook. Post content pertaining to faculty and student accomplishments, activities, scholarship, and events.Engage other Villanova departments, groups, centers to increase exposure, posting content/events fitting the departmental mission.Work with University Communication and Media Relations regarding newsworthy items to ensure news/press release is seen by a wider audience.Serve as Constant Contact administrator to ensure consistent messaging of department/program events, news, and other items. Serve as webmaster for departmental website.Review information to ensure accuracy.Interface with undergraduate, graduate, and doctoral program directors and update information on the website as needed.Ensure accuracy of printed and online materials and information about program(s) (Graduate Catalog, department materials, program website, etc.).Minimum Qualifications:
Formal EducationHigh School diploma or equivalent requiredWork Experience2-3 years' administrative office experience required.Work SkillsExcellent oral, written, interpersonal skills.Above-average accuracy and attention to detail. Flexibility and well organized. Ability to multitask.Sensitivity to confidential matters.Ability to work additional hours during the lead up to the larger department events.Strong skills in the use of standard office equipment and software, including experience updating websites and social media publishing.Preferred Qualifications:
Formal EducationCollege degree preferredWork ExperiencePrevious experience working in a higher education setting preferred.Physical Requirements and/or Unusual Work Hours:
