Position Overview

The Administrative Assistant in Rome plays a crucial role in providing comprehensive organizational and administrative support to faculty, students, and administrators. This position is integral to the operational efficiency of the office and directly reports to the Executive Director of Operations and Information Technology for Europe.

Key Responsibilities

Administrative & Operational Duties:

  • Serve as the primary point of contact for visitors and callers, ensuring a welcoming and professional atmosphere.
  • Collaborate closely with security personnel to maintain a safe environment.
  • Assist in the establishment and management of filing systems and records, ensuring compliance with data protection regulations.
  • Facilitate effective communication both internally and externally, addressing information requests and disseminating official announcements.
  • Oversee print services and ensure the availability of necessary supplies.
  • Manage the university's phone and mail systems efficiently.
  • Support calendar management for administrators as needed.

Library and Supply Management:

  • Maintain the library collection and manage the check-in/out process for materials.
  • Oversee inventory and distribution of office and residence supplies.

Social Media and Event Coordination:

  • Assist in updating the university's website and social media platforms with relevant content.
  • Support event management by handling logistics and participant communications.
  • Document events through photos and videos to enhance university visibility.

Academic and Faculty Support:

  • Contribute to the creation of academic schedules and classroom arrangements.
  • Assist in preparing materials for classes and exams.
  • Provide basic technical support for classroom technology.

Student Life and Residence Support:

  • Facilitate student orientation and assist with residence management tasks.
  • Participate in health and safety inspections as required.
  • Respond to student emergencies as part of an on-call rotation.
